Templates & downloads

Paperwork, ready to use

Every file is generated in your browser when you click download. No email address, no account, no tracking of the contents.

Use them in sets

Four sets that fix four problems

Individually they are useful. Used as a set they change how a job runs from enquiry to cleared payment.

The quoting set

A quote that states scope, exclusions, validity and payment terms wins better work and stops arguments later. Start with the quote template, add the variation form, and never price a change verbally again.

The on-site set

Evidence protects your invoice. A site visit checklist before you price, a completion form signed at handover and a photo record turn disputes into short conversations.

The getting-paid set

Late payment is a process problem, not a personality problem. Send the same three escalating emails on the same three days, every time, and most accounts start paying earlier.

The team and vehicle set

Once you have a van on the road or a person on the books, the costs and the rules both change. These set out what you spend and what you expect.

How to use them

Four things worth knowing first

Downloads are generated in your browser

Click download and the file is built on your device from the text shown on the page. Nothing is uploaded, and no email address is collected.

Open CSV files in any spreadsheet

Excel, Google Sheets, Numbers and LibreOffice all open these directly. Save your own copy before you start typing over the example rows.

Edit them to match your business

Change the payment terms, deposit percentages and wording to reflect what you actually do. A template you have not adapted is a template you will not use.

Get them checked before they are contractual

Quote terms, expense policies and subcontractor paperwork have legal and tax consequences. Have a solicitor or accountant look at your final wording once.

Straight answers

Common questions about the templates

Are the templates really free?
Yes. Every file on this page downloads without an account, an email address or a payment. There is no upsell version behind them.
Can I put my own logo and terms on them?
Yes. They are plain CSV and text files with no branding or licence restrictions. Rebrand them, reword them and use them commercially in your own business.
Is the quote template legally binding?
A quote your customer accepts in writing generally forms a contract, which is why the wording matters. The template covers scope, exclusions, deposits, variations and payment terms as a sensible starting point, but it is not legal advice — have your final version reviewed by a solicitor.
Which template should I start with?
The quote template and the variation approval form. Together they close the two biggest leaks in most trade businesses: vague scope and unpriced changes.
